Build versus buy, scope and timeline
Custom CRM development cost: what changes the price
Custom CRM development cost depends on roles, workflows, data migration and integrations, not the number of screens. A focused CRM with lead capture, a pipeline, customer records, tasks and basic reporting is much cheaper than a system that also replaces booking, payments, messaging and operations. Scope the smallest system that removes one expensive coordination problem, then add modules after people use it.
- ◆Start with one team and one customer journey
- ◆Keep the customer record as the source of truth
- ◆Integrations and migration drive more cost than dashboards
- ◆Use tailored pricing after the workflow is mapped
Most CRM quotes are impossible to compare because one describes a contact database and another describes the operating system for the whole company.
The useful question is not how many features you can buy. It is which hand-offs currently lose leads, delay work or make reporting unreliable.
The workbook version of this guide
This page explains the thinking. The Launch Workbook makes you do it: seven modules with fields you fill in, saved as you go.
What changes the cost
Five things create most of the work: the number of roles, the number of workflows, the state of your existing data, the systems that must connect and the cost of a mistake.
- ·Roles and permissions
- ·Pipeline and delivery stages
- ·Email, calendar, payment or WhatsApp connections
- ·Data cleanup and migration
- ·Audit, privacy and reporting requirements
The minimum useful CRM
Version one should capture every lead, show its owner and next action, keep a usable customer history and answer a small set of operating questions. If the team cannot use it daily without a training course, the scope is wrong.
- ·Lead inbox
- ·Simple pipeline
- ·Customer record
- ·Tasks and reminders
- ·Basic source and conversion report
When to buy instead
Use HubSpot or another established CRM when your process is standard and the available workflow already fits. Custom development makes sense when your operating process is the advantage, your customer record spans delivery as well as sales, or generic tools create more copying than they remove.
A realistic build sequence
Map the current journey first. Build one complete path from enquiry to outcome. Import only the data the team will use. Run the new system beside the old one briefly, then remove the duplicate source of truth.
- ·Week one: workflow, fields, permissions and prototype
- ·Weeks two and three: core records, pipeline and actions
- ·Week four: integrations, reporting and team rollout
- ·After use: automate repeated exceptions with evidence
Buy, connect or build
| Situation | Best starting point | Why |
|---|---|---|
| Standard sales pipeline | Buy | Mature tools already solve it |
| Standard CRM plus unusual delivery | Connect | Keep the CRM and build the operations layer |
| Sales and service are one custom workflow | Build | The workflow is the product |
| No agreed process | Map first | Software will only harden confusion |
Common questions
How long does it take to develop a custom CRM?
A focused first release can take two to four weeks. Migration, complex permissions and several external systems can extend that substantially.
Is a custom CRM cheaper than Salesforce or HubSpot?
Not automatically. It can be better value when generic software requires many seats, add-ons and manual work, but standard processes are usually cheaper to run on an established product.
Can a custom CRM connect to WhatsApp?
Yes. WhatsApp messaging can connect through Twilio, with consent, templates and conversation events recorded against the right customer.
What should I prepare before requesting a quote?
Bring the current workflow, the people involved, the tools used, three common exceptions and the reports you need to trust.
