How to integrate WhatsApp with a CRM properly
A WhatsApp CRM integration should attach every approved business conversation to the correct customer record, trigger the right workflow and preserve consent. For a service business, useful flows include enquiry capture, booking confirmation, reminders, status updates and follow-up. WhatsApp is the communication channel. The CRM should remain the source of truth for identity, ownership, status and next action.

Start from the customer journey
Choose one moment where a message removes uncertainty or delay. Booking confirmation, an upcoming appointment, a service status change and a missing payment are clearer starting points than general marketing blasts.

Keep identity and consent reliable
Phone numbers need normalization, customer records need deduplication and consent needs a timestamp and source. Treat opt-out as a system event, not as a note someone may overlook.
Design the hand-off to a person
Automation should stop when the request is ambiguous, sensitive or outside the approved flow. The person receiving it needs the message history, customer record and intended next step in one view.
Measure the workflow, not message volume
Useful measures are time to first response, booking completion, payment recovery and unresolved conversations. Sending more messages is not an outcome.

Can I automate every WhatsApp reply?
You should not. Automate narrow, predictable steps and hand ambiguity, sensitivity and complaints to a person with full context.
Do I need customer consent?
Yes. Consent and template requirements depend on the message and current WhatsApp Business rules. Store when and how consent was obtained and honour opt-out immediately.
Is WhatsApp itself a CRM?
No. It is a valuable customer channel, but it does not replace a structured customer record, ownership, permissions, reporting and workflow state.
